2. Scope of This Policy
This policy covers the website hvacflatratepricingsoftware.com and the HVAC Flat Rate Pricing Software tool on it (“Service”), and any emails you send us. It is provided under Articles 13 and 14 of the General Data Protection Regulation (GDPR) and applicable German data protection law.
3. Your Data Stays in Your Browser
The tool runs entirely in your web browser. There is no account, no login and no server-side database.
Everything you enter in the tool stays on your device, in your browser’s local storage. That includes:
- Shop settings, labor rates, margins and tax rates
- Your price book (tasks, labor hours, part costs)
- Quotes, invoices, customer names and contact details
- Signatures captured on screen and any logo you upload
We never receive this data. It is not uploaded, synced or backed up to us or anyone else. We cannot see it, recover it or delete it for you.
You control it fully:
- Backup: “Download backup” in Settings saves a file to your device. Where that file goes is up to you.
- Deletion: “Delete all data” in Settings, or clearing your browser’s site data for hvacflatratepricingsoftware.com, removes it from that browser.
- Other devices: data on one device or browser is not visible on another unless you move a backup file yourself.
If you enter your customers’ personal data (names, addresses, phone numbers, emails, signatures), you are the controller of that data. Because it never leaves your device, we do not process it on your behalf and no data processing agreement is needed.
Offline use. The site registers a service worker so it can load without a connection. The service worker stores copies of the site’s own files (pages, scripts, styles, fonts, icons) in your browser. It stores no personal data.
4. Personal Data We Do Process and Why
4.1 Website Delivery (Server Logs)
When your browser loads the site, our hosting provider receives the technical data any web server receives:

These logs are kept by the hosting provider only as long as needed for security and operations, and then deleted. We do not combine them with other data or use them to identify you.
4.2 Emails You Send Us

We keep correspondence for up to 2 years after your enquiry is resolved, unless a longer retention period is required by law.
4.3 What We Do Not Do
- No analytics, tracking pixels or advertising scripts
- No cookies
- No third-party fonts, CDNs or embeds; every file is served from hvacflatratepricingsoftware.com
- No sale or sharing of personal data

Both act as processors under Article 28 GDPR where required.
6. International Data Transfers
If a provider listed in Section 5 processes data outside the European Economic Area, we only use providers that offer adequate safeguards under Chapter V GDPR, such as an adequacy decision or the EU Standard Contractual Clauses.
7. Browser Storage (TDDDG § 25)
The tool saves your work in your browser’s local storage and the service worker caches the site’s files. Both are strictly necessary to provide the Service you ask for, so no consent is required under § 25(2) No. 2 of the German Telekommunikation-Digitale-Dienste-Datenschutz-Gesetz (TDDDG). None of it is read by us or sent anywhere.
8. Your Rights Under GDPR
You have the following rights under Chapter III GDPR:

Data stored in the tool is only on your device, so you can view, export and delete it yourself at any time from Settings.
How to submit a request: Email hello@hvacflatratepricingsoftware.com with the subject line “Data Subject Request”. We respond within one (1) month of receipt.
9. Children’s Privacy
The Service is a business tool and is not directed at persons under 18. We do not knowingly collect personal data from minors.
10. Security
The site is served only over HTTPS. Because your tool data never leaves your device, its security depends on the device: use a screen lock, keep the browser up to date, and store backup files somewhere safe.
11. California Privacy Rights (CCPA / CPRA)
If you are a California resident, you have the right to know what personal information we collect, to request its deletion or correction, and to opt out of its sale or sharing. We do not sell or share personal information. To exercise these rights, contact hello@hvacflatratepricingsoftware.com.
12. Changes to This Policy
We may update this policy when the Service or the law changes. The current version is always at hvacflatratepricingsoftware.com/privacy-policy/ with the “Last Updated” date at the top.
